Plant Maintenance Clerk
Head Office-Based
We are seeking a reliable and detail-oriented Plant Clerk to join our team. The successful candidate will be responsible for managing the administrative, recordkeeping and compliance functions related to plant hire, movement, licensing and maintenance. The Plant Clerk plays a key role in ensuring accurate data, up-to-date documentation and seamless coordination between the Workshop, Plant Hire and Site teams—supporting efficient maintenance planning, reporting and plant utilisation.
Main Responsibilities:
- Capture and maintain daily records for plant hire, movement, utilisation and maintenance activities.
- Keep plant and vehicle allocation schedules updated and assist with plant availability reporting.
- Record, file and verify job cards for repairs, servicing, operator hours and maintenance work.
- Maintain accurate fuel records, hour-meter updates and utilisation summaries.
- Track expiry dates for licences, COFs, operator certificates and compliance documentation.
- Support maintenance planning by keeping all plant records current, organised and audit-ready.
- Capture and verify procurement documents, supplier invoices, requisitions and consumable usage.
- Assist the Workshop team with repair documentation, plant transfers and maintenance administration.
- File and organise plant, licensing, maintenance and job card documentation daily.
- Communicate with Workshop, Procurement, Finance and Site teams regarding outstanding documents, discrepancies or required updates.
- Support month-end reporting, compliance checks and plant utilisation analysis with accurate data.
- Participate in continuous improvement of recordkeeping, filing and administrative processes.
Minimum Requirements:
- Education: National Certificate (Vocational) or N6 in Office Administration, Business Administration or Financial Management.
- Experience: At least 1–2 years’ administrative or clerical experience, preferably in workshop, logistics or construction environments. 3–4 years’ experience in plant or fleet administration, including data entry, recordkeeping, job cards, licensing and document control.
Advantageous:
- Higher Certificate or Diploma in Office or Business Administration.
